Booking and Payment Terms and Conditions
Raj Bala Treks & Expedition is a government registered trekking company in Nepal. Kindly read below mentioned Terms and Conditions before booking your trip with us.
Booking and Payment Terms and Conditions herein as follows is a legal contract document of our company in regards to overall trip operations and governs the basis of trustworthy mutual relationship and consent between you (service seeker, client) and us (The Company). This document also forms the basis of the services the company provides and promises to provide as well as the acceptance of these terms and conditions by the clients while receiving these services from the company for a specified period of time.
1. Booking a Trip
The term “Trip” stated here and booking conditions are a representative form of any product itinerary or activities described on this website to buy or deal with us including those which might otherwise be recognized as trekking, walking, hiking, climbing, sightseeing, mountaineering, tours, expeditions, as well as other adventure tour programs.
Confirmation of the email is officially the fastest way and an indication of your trip booking as being accepted by the company after your booking proceeds. From this date, you are ensured to become your trip definite.
2. General Booking Conditions
To secure your place and to process the confirmation of your booking for the Nepal trip, a photocopy of your passport and a 20% deposit of the total cost of the trip should be provided to us by you while booking the trip.
Generally, we need advance payments from your behalf for fixing prior arrangements of hotel reservations, flight tickets, permits, Trekkers’ Information Management Systems (TIMS) card, etc. Your service arrangements are managed as soon as the advance is received. The booking deposit is acceptable both through the bank transfer and/or by Card authentication and 3D secure credit card, (Visa or Master Card or American Express card). The company communicates via email for additional information regarding the direct money deposit details while proceeding with the booking.
The balance is due no later than two months prior to departure. If you book a tour less than 2 months prior to departure, you must send the full payment within 7 days of confirmation by us. Final trip documentation will be released upon full trip payment. Your final payment is accepted by the bank transfer, cash, or via credit card. For credit card payments, 3.5% extra will be levied to you for a credit card processing fee.
For Tibet and Bhutan trips, 100 (%) payments are required within 1 month before starting any trip.
3. Last Minute Booking
This is for the clients who could not book trips in advance for any reason but are eager to confirm booking trips within a short period. Raj Bala Treks & Expedition offers a special booking provision with regard to the Nepal trips, your last-minute booking with 100 (%) percent trip payments 24 hrs before starting a trip is accepted. However, in the case of the Tibet and Bhutan trips, we are unable to accept the last-minute booking.
4. Cancellation Policy
If you cancel your booking, the following charges will apply:
- 2 months before departure – Loss of deposit (20% of total trip cost)
- 29 days to 2 months before departure – 30% of total trip cost
- 10 to 28 days before departure – 60% of total trip cost
- Less than 10 days before departure – 100% of total trip cost
5. Risk and Liabilities
We are not liable for any changes or cancellations of the trip under unavoidable circumstances like change in the rules and regulations of the country, any government restrictions, natural disasters, political instability, cancellations of flights, delays, sickness or accidents, breakdown of vehicles, etc. Any extra cost incurred due to such circumstances shall have to be borne by the clients themselves. Therefore, travel insurance is highly recommended.
6. Incomplete Tour
We are not liable for any refunds in case of any incomplete tour, trek, or expedition, whatever the reason from the customer’s side.
7. Unforeseen Circumstances
If your trip gets canceled due to unforeseen circumstances like natural disasters, war, or unfavorable climatic conditions, we will arrange another trip for you. So even if your trip won’t be the one you had chosen, your money will not go in vain.
8. Travel Insurance
It is mandatory to have a comprehensive travel insurance package for all our clients to join any of our adventures. The insurance must cover all the medical expenses, personal accidents, emergency evacuations, trip cancellations, loss of gears and natural calamity, theft of or damage to baggage, and personal effects.
9. Flight Delay / Flight Cancellation
Flight delays and cancellations are likely to happen often during bad weather conditions in remote areas, particularly in the Everest region, the Annapurna region, Dolpo, Simikot, and Jumla region. Therefore, it is advisable to carry some extra money to buy food and accommodations in case of delays. Raj Bala Treks & Expedition will not be responsible for any of the additional expenses. Therefore, please plan accordingly.
